This Privacy Policy explains how Sysfleet Consulting LLC, doing business as Sysfleet Tech Solutions ("Sysfleet," "we," "us," or "our"), collects, uses, and protects information when you use Sysfleet Merit (the "Service"). Because the Service is used to organize evidence related to immigration petitions, we treat the information you provide with particular care.
1. Information We Collect
We collect the following categories of information:
- Account information: email address and password (stored in hashed form by our authentication provider), and any profile details you choose to add, such as a headline, targeted visa type, or field of expertise.
- Your Content: documents, files, descriptions, and other evidence you upload to the Evidence Vault, and records of opportunities you track in your pipeline.
- Usage data: log and diagnostic information such as timestamps, general device/browser information, and feature usage, collected automatically to help us maintain and improve the Service.
2. How We Use Information
We use the information we collect to:
- Provide, operate, and maintain the Service, including your evidence and pipeline records;
- Authenticate your account and enforce access controls so only you can see your own data;
- Respond to support requests you send to us;
- Monitor, secure, and improve the Service; and
- Comply with legal obligations.
We do not use Your Content to train third-party artificial intelligence models, and we do not sell your personal information.
3. How We Share Information
We do not sell or rent your personal information. We share information only with the service providers necessary to operate the Service, currently:
- Supabase: database, authentication, and encrypted file storage;
- Vercel: application hosting and delivery.
These providers process data on our behalf under their own security and privacy commitments. We may also disclose information if required by law, subpoena, or valid legal process, or to protect the rights, property, or safety of Sysfleet, our users, or the public.
4. Data Storage and Security
Your account data and uploaded evidence are stored in a database protected by row-level security policies that restrict access to your own records, and files are stored in a private storage bucket accessible only to your authenticated account. We use industry-standard encryption in transit (HTTPS/TLS) and at rest where supported by our infrastructure providers. No method of electronic storage or transmission is perfectly secure, and we cannot guarantee absolute security.
5. Data Retention
We retain your account information and Your Content for as long as your account remains active. You may delete individual pieces of evidence or your entire account at any time by contacting us; upon account deletion, we will delete or anonymize your personal information within a commercially reasonable time, except where we are required to retain certain records to comply with legal obligations or resolve disputes.
6. Your Rights and Choices
Depending on your state of residence, you may have rights to access, correct, delete, or obtain a copy of your personal information, and to opt out of certain uses. This includes rights available to California residents under the California Consumer Privacy Act (CCPA/CPRA) and similar rights under other state privacy laws (e.g., Virginia's Consumer Data Protection Act). 7. Children's Privacy
The Service is intended for users 18 years of age or older and is not directed to children. We do not knowingly collect personal information from children under 18. If you believe a child has provided us with personal information, please contact us so we can delete it.
8. International Users
The Service is operated from the United States and hosted with U.S.-based infrastructure providers. If you access the Service from outside the United States, your information will be transferred to and processed in the United States, which may have different data protection laws than your country of residence.
9. Cookies
We use only the minimal cookies or local storage necessary for authentication and core functionality of the Service. We do not use third-party advertising trackers.
10. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will provide notice through the Service or by other reasonable means. The "Last updated" date above indicates when this Policy was last revised.
